Year-End Summaries Guide

Generate and send annual giving statements to donors who made multiple donations throughout the year. Perfect for tax season.

What is a year-end summary?

A year-end summary (also called an annual giving statement) consolidates all donations from a single donor into one document. It shows:

Total giving for the year
List of individual donations
Date and amount of each gift
IRS-compliant tax language

When to send year-end summaries

Most nonprofits send year-end summaries in January, after the calendar year ends but before donors file taxes. Best practices:

Send in early January for the previous tax year
Give donors time to use summaries for tax filing
Send before the April tax deadline
Consider a thank-you message for their annual support

How to generate year-end summaries

Go to the Donations page

Navigate to your organization's Donations page from the sidebar.

Click "Year-End Summaries"

Find the Year-End Summaries button in the page header. This opens the summary generation panel.

Select the year

Choose which calendar year to generate summaries for. Thankly will find all donors with multiple donations that year.

Review eligible donors

See a list of donors who will receive summaries, along with their total giving and number of donations.

Send summaries

Click "Send All" to email summaries to all eligible donors. You'll see progress as emails are sent.

Bulk sending

Year-end summaries are sent in bulk to all eligible donors at once. Each donor receives:

  • An email thanking them for their annual support
  • A PDF attachment with their complete giving history
  • Your organization's contact information
